Creating and Importing Patient Records in MMEx

Patients can be added into the MMEx patient database in three ways:

  1. Manual entry
  2. Importing from your pre-existing practice management system, such as MD3 or Best Practice
  3. Importing from the practice management systems of other doctors.

Manual Entry:

Click on the Patients tab in the top menu of MMEx, then click the Add New Patient button.

Enter all of the known information into the relevant fields. The only fields that are mandatory at this stage are the name fields, date of birth (DOB) and medicare number. You can indicate that there is no medicare number available using the check box provided. All dates must be entered into MMEx following the format: ##/##/####, e.g. 17/05/1982.

Once you have finished, click the Save button to view the Patient Details page, or the Save & Open button to start adding notes to the patient's clinical record.

From the Patient Details page you can find several tabs where more information can be added about a patient.

You can always get back to this page by opening the patient record & clicking the Patient Details button in the top right side of the screen.

General

Click the Edit button to make changes or additions and click Save to save.

Other Address

Click the Add Additional Address to add more addresses for the patient.

Family

Click the Edit button to add family history notes. To create a record of a next of kin, or other relation, click the Add New Relation button.

Social & Occupation

Click the Edit button then use the drop down lists and text boxes to add information. Once you are done, click Save.

Allergies

Select either 'Unknown', 'No known allergies' or 'Has allergies' from the options provided. If you selected 'Has allergies', MMEx will prompt you to indicate what these allergies are.

Smoking

Click the Edit button. Use the drop down lists & text boxes to indicate the relevant information. When you are done, click Save.

Alcohol

To add information about a patient's drinking habits, click the Edit button. Use the drop down lists & text boxes to indicate the relevant information. When you are done, click Save.

Notes

Here you can write any additional notes about a patient. Simply type into the large text box and click the Save button.

Referrals

To add a new referral, click the Add New Referral button. Select the type of referral and enter the relevant dates. If the referrer is an MMEx user, MMEx can link this up with their account & pull in details such as their provider number. If not, select the Not an MMEx User button to free type the name of the referrer & their provider number.

Care Providers

Add references of other care providers for your patient. Select the provider type (you can choose other & free type if not provided in the list) and enter the name of the provider. If the provider is not an MMEx user you can click the Not an MMEx User button.

Tags

Tagging patients can be very useful for separating patients into desired groups to generate reports. Type the name of the relevant tag into the "New Tag:" text box and click Add.

Patient Access

Here you can grant access to other MMEx users to view and update your patient's record. To do so, click the Add New button. Type in the name of the MMEx user and click Add.

Advanced Care Directive

To upload a document, click the Edit button and then Browse... Select a document from your computer and click Open / Ok. Click Save.

Consent

Here you can keep a record of patient consent, either given or refused. Consent can simply be verbal, or you can upload a document proving written consent.

To add a record of consent, click the Add Consent button. Select what the consent is for and check the Obtained By and On fields are correct. If you scanned in a signed document, you can upload it by clicking the Browse... button and selecting the file from your computer. If the patient has refused a type of consent, you can indicate by checking the 'Refused' check box. Add any notes if desired and click Save New Consent.

Schools

You can keep a record of what school your child patients attend. To do this, click Add School, fill in the details and click Save. This can include all types of education, including tertiary.

Compensation

To add a record of workers compensation, click the Add Compensation button, fill in the details and click Add.


Importing Patients:

To import patients in MMEx from either your own or another doctor's practice management system, the MMEx Practice Management System (PMS) Adapter needs to be installed by the MMEx Help Desk.

Please call 1300 722 926 to have the adapter installed.

Once the PMS adaptor is installed and MMEx is linked to your practice management system, you can import patients via the Import Patient button on the Patients screen.

MMEx will ask you which system you wish to import the patients from:


Select your PMS from the list, type the name of the patient you wish to import into the search bar and click Search.

If you are not importing your own patients, but rather those from another doctor with whom you have a pre-existing agreement to share patient data, MMEx will ask you to confirm that you have attained patient consent before you begin the import.

The patient data is imported in real time, which means that you are importing up-to-date information as it currently stands in the PMS.

If you are visiting a patient away from your surgery, or you are viewing the details of another doctor's patient, and it has been some time since your first encounter with the patient, you can open up the previously imported patient record in MMEx and then ask for an update from the PMS.

Importing Updated Patient Details from your PMS

If a patient's details have been recently updated on your practice management system, such as MD3, you can import the updated details directly to the patient record on MMEx.

To do this, right click on the relevant patient's name from your patient list in MMEx, and select the Patient Import Update option (Figure 3) and follow the prompts. You must have the PMS adapter installed for this feature.
