Electronic Referrals to Perth Hospitals using MMEx

There are two ways a referral can be sent:

  1. Directly from your patient management system (MD3, BP, Genie, MedTech32 etc) using a letter template and sending it via email converted by MMEx
  2. As an online web form

Instructions

The MMEx client is installed on a server or workstation by the UWA CSP

This does two things:

  1. It downloads files sent via MMEx so that they can be seen in the incoming investigations of the GP's patient management system
  2. It allows letters, referrals, requests to be sent from the GP's patient management system securely via MMEx

MMEx email accounts are created so that messages can be sent from patient management systems such as MD3, BP, MedTech32 and others.

In your patient management system, addresses for the hospital outpatient departments are added:

Instructions for MD3

  1. In the letter writer, select the Hospital Outpatient Referral template


    Figure 1: Select File > New ...


    Figure 2: Select the Hospital Outpatient Referral and click OK

  2. Select the address of the hospital you are referring to e.g. Fremantle Hospital Outpatient
  3. Enter details as prompted

    Specifically:

    Clinic

    Specialist area or clinic name e.g. Gastroenterology

    Specialist Name (or Any)

    Name of specialist if you know it or type Any

    Previously Seen By Hospital

    Note if the patient has been previously seen at the hospital

    Previously refered to clinic/speciality?

    Note if the patient has been previously seen at this clinic/speciality

    Hospital Reference Number

    If known or appropriate

    DVA Card Type

     

    Country of Birth

     

    ATSI

    Aboriginality

    Maiden Name

    Other surname

    Postal Address

    If different from residential address

    NOK details

    Next of Kin details. Essential if patient is under 18

    Length of Referral

    Default 12 months - select other if this differs

    Referral Priority

    If priority 0 you must have consulted with a doctor at the hospital and been given an appointment date

    Referral Reason

    Desired outcome of referral

  4. Complete any other details on the referral. The referral will auto-populate Medications, Medical History and Allergies.
  5. Save referral

  6. Send referral by selecting File, Email, Send...

  7. Select the recipient from the address book (e.g. Fremantle Hospital Outpatients). The email address should be something@mmex.gsmhn.com.au (e.g. fhout@mmex.gsmhn.com.au for Fremantle Hospital)
  8. Click OK


    Figure 6: If this message appears, select Yes

  9. An email will open up. IMPORTANT: Select the MMEx account then press Send

  10. Note that Outlook or your email client may need to be running for the email to be sent
