Using the MMEx Calendar

Open your MMEx Calendar by clicking on the Calendar link in the left hand menu on your screen.

If your Calendar screen appears blank, ensure that the check box next to your calendar name is selected in the box on the left hand side of the page (as in Figure 2).

Managing your Calendars, Resources and Venues

Links to where you can manage your calendars, resources and venues are found in the box on the left side of your screen, as shown in Figure 2 (above).

To manage your calendars, click on the Manage Calendars link. You can set up separate calendars in MMEx for each person in your organisation. To add a new calendar, click the Add New Calendar button. Type a name for your new calendar in the Title box, and click the Add Calendar button (Figure 3).

Your new calendar will now appear below your existing one in the box on the left hand side of the screen. To make it visible, ensure that the check box next to it is selected.

To manage your already existing calendars, click back on the Manage Calendars link, and click on the Manage button next to the relevant calendar. Here you can edit the permissions as to who from your organisation can view and edit the particular calendar.

To allow a new person or organisation to edit/view the calendar, type their name into the User text box and click Add, or select the person/organisation from the MMEx Address Book. If you would only like this person to be able to view the calendar, but not edit it, leave the Can Edit check box unchecked. If you would like this person to be able to edit the calendar, ensure the Can Edit check box is selected. Select the Grant to Organisation checkbox to allow every user under that organisation those permissions. To save this person/organisation to the calendar, click the Add button.

To manage your resources, click on the Manage Resources link in the box on the left. Your resources may be anything that you would require for certain appointments, such as a piece of equipment. To add a new resource, click the Add New Resource button.

Give the resource a name and a description and click the Add button, as shown in Figure 5.

To manage your venues, click on the Manage Venues link in the box on the left. To add a new venue, click the Add New Venue button.

Give your venue a name and a description and click on the Add button.

Adding a New Event to your Calendar

To add a new event to your calendar, click on the Add New Entry icon in the toolbar at the top of the screen (seen in Figure 7). Alternatively, scroll to the desired day on your calendar and double click on the relevant time slot to automatically complete the time & date information for the appointment.

The Add New Entry box will appear, as shown below in Figure 8.

Complete the given fields, as explained below:

 

Add to Schedule

Select the calendar to which you would like to add the event.
 

Title

Give the new event a name that you can recognise it by
 

Patients

Add the patient(s) relevant to the appointment, either by using the Pick A Patient button or by typing their name into the text box and clicking the Add button.
 

When

Select the date and time of the event. Click on the little calendar icon to easily pick the date.
 

Participants

Select any people from your organisation who will be participating in this event. Click the Add button to add each person to the entry.
 

Venue

Select the event venue from the drop down list, which you may have defined using the Manage Venues feature (as explained in the section above), and click Add. If the relevant venue is not given in the drop down list, you may create a new one by clicking on the Create New Venues link.
 

Resources

Select any resources, such as equipment, that may be required for this event. If you have defined these previously they will appear in the drop down list. If the required resource is not available from the drop down list, you can create a new resource by clicking on the Creat New Resources link.
 

Appointment Status

Select the status of the appointment from the drop down list provided.
 

Appointment Type

Select the type of the appointment from the drop down list provided.
 

Description

Give a brief description for the appointment.
 

Once the fields are completed, click the Add button at the top.

Your new entry will now be visible on the calendar when you browse through to the relevant day (Figure 9).

Browsing your Calendar

The toolbar at the top of the page enables you to easily browse through your calendar to see the various appointments that have been entered.

You can toggle the calendar to view it either by each individual day, week or weekday by using the buttons shown in Figure 10.

The Unscheduled view allows you to view appointments that have not been scheduled yet, i.e. when in the creation of an event you checked the "I don't want to schedule this right now" box rather than choosing a date and time.

The icons navigate backward and forward between the days/weeks/weekdays, depending on which view you have selcted.

The  icon allows you to quickly navigate to a date on the calendar without having to scroll through weeks.

Click on an event to view it in detail.

Filters & Preferences

You can open the filter and preferences options by clicking on the Show Filters and Show Preferences links in the top right hand corner of your page.

By using the filters (Figure 11), you can choose to only see appointments of a certain status or a certain type by selecting one of the options from the drop down lists that appear in the toolbar.

Play around with the hour zoom to view the effects of the option and select your desired preference. The default duration option lets you select the desired duration time for each appointment as the default for each new event that is created.

If there are multiple people from your organisation updating the same calendar you can set the Auto Refresh option to automatically update your calendar on your screen every few minutes so that you are receiving the latest version.

Below you can personalise the colours for different states of calendar events using the drop down lists provided.
